Your GDPR Rights

Dictis is committed to protecting your personal data under the General Data Protection Regulation (GDPR). This page explains your rights and how to exercise them.

Data Controller

1. Right to Access (Art. 15)

You have the right to obtain confirmation as to whether your personal data is being processed and, if so, to access that data. In Dictis, you can:

• View all your notes, recordings, and data directly in the app.
• Export a complete copy of your data via Settings → Privacy → Export All Data.

2. Right to Rectification (Art. 16)

You have the right to correct inaccurate personal data. You can:

• Edit your display name and profile information in Settings → Account.
• Edit any note content, transcripts, or action items directly within the app.

3. Right to Erasure (Art. 17)

You have the right to request deletion of your personal data. In Dictis, you can:

• Delete individual notes and their associated data (audio, transcript, AI analysis).
• Delete all data at once via Settings → Privacy → Delete All Data (keeps your account).
• Delete your entire account and all associated data via Settings → Privacy → Delete Account.

Upon account deletion, all personal data is permanently removed from our servers within 30 days, including any backups.

4. Right to Restrict Processing (Art. 18)

You have the right to restrict the processing of your data. In Dictis, you can:

• Disable AI processing — your recordings will be transcribed but not analyzed by AI (Settings → Privacy).
• Disable analytics — no usage data will be collected (Settings → Privacy).
• Disable contact detection — names mentioned in notes will not be automatically extracted (Settings → Privacy).

5. Right to Data Portability (Art. 20)

You have the right to receive your personal data in a structured, commonly used, and machine-readable format. Dictis provides:

• JSON export of all your data (notes, action items, tags, projects, people).
• Markdown export for human-readable note archives.
• Audio file downloads of all your recordings.

All exports are available via Settings → Privacy → Export All Data.

6. Right to Object (Art. 21)

You have the right to object to the processing of your personal data. You can object to:

• AI analysis of your notes (disable in Privacy settings).
• Anonymous analytics collection (disable in Privacy settings).
• Any processing by contacting us at hello@dictis.app.

7. Automated Decision-Making (Art. 22)

Dictis uses AI to automatically generate summaries, key points, action items, and other structured data from your recordings. This processing:

• Is based on your consent when you enable AI processing.
• Does not produce legal or similarly significant effects.
• Can be disabled at any time in Settings → Privacy → AI Processing.

All AI-generated content is clearly presented as suggestions and can be edited or deleted by you.

8. How to Exercise Your Rights

Most rights can be exercised directly within the Dictis app via Settings → Privacy. For any requests that cannot be handled in-app, or if you need assistance:

• Email us at hello@dictis.app.
• We will respond to your request within 30 days.
• We may ask you to verify your identity before processing your request.

9. Right to Lodge a Complaint

If you believe that the processing of your personal data violates the GDPR, you have the right to lodge a complaint with a supervisory authority. As Dictis is operated from Germany, the relevant authority is:

The data protection supervisory authority of your place of residence, or the Federal Commissioner for Data Protection and Freedom of Information (BfDI) in Germany.
